NatSci Support Staff Hiring Procedures

The College applies institutional policies and follows best practices towards merit-based hiring. Attracting best talent requires:

  • Strategic planning of positions that are critical to advance our mission.
  • Conducting evidence-based searches that identify applicants with the best qualifications and skills for the job and commitment to our mission and core values.
  • Ensuring timely completion of the multi-level hiring steps for each appointment time.

1) Support Staff Regular Positions Searches

The college has a structured process to request approval for support staff positions and to guide the units and search committees through the institutional and college approval steps.

+ Process

A summary of steps is as follows:

  1. Planning
    1. Determine what work needs to be done and if those responsibilities can be reallocated or whether a search is necessary.
    2. Determine what MSU appointment type and MSU job classification is applicable.

    3. Draft a position description ad that aligns with the appointment type and classification using the NatSci Internal Position Description AD Template
    4. Determination of the pay range for the position considering budget, contractual minimums, internal equity (department / university).
      1. Recommended sources for pay information:
        1. EASE salary analysis – specifies actual pay ranges and average pay university wide.
        2. MSU Contractual Pay Ranges
  2. Preliminary approval by the college
    1. Seek confirmation of the Dean’s interest by sending formal request to the college using NatSci Support Staff Position Preliminary Approval Form
    2. Human Resources Associate Director reviews and provides feedback. If Human Resources Associate Director approves, the request is sent to the Dean for review and determination.
    3. Unit is notified of the Dean’s determination.
  3. EBS request and approval flow
    1. If Dean approved, the unit completes a Staffing Request Form on the EBS Portal, attaching the fully executed NatSci Support Staff Position Preliminary Approval Form.
    2. Staffing Request Form is routed for review in EBS Portal. University approval process: Unit > College (Dean/designee)> Presidents or EVPA Office Committee > MSU HR (approval to post)
      1. Requests must be received and approved by MSU HR no later than Noon on the Friday prior to the next scheduled posting on the MSU job postings website. Jobs are posted every Wednesday at 1 p.m. for a minimum of five business days. In the event of a university holiday, jobs may be posted on a day other than Wednesday for that specific week as deemed necessary by MSU HR Talent Management. Hiring departments will be notified via email when the traditional posting period will be altered.
    3. MSU HR provides notification of denial/approval of posting
  4. If the position is approved in full, deliver the charge to the hiring committee, follow the unit’s search and hiring process in compliance with Support Staff Policy & Procedure for Filling Vacant Regular Positions.

2) Temporary and On-call Searches

+ Process

A summary of steps is as follows:

  1. Planning
    1. Determine what work needs to be done and if those responsibilities can be reallocated or whether a search is necessary.
    2. Determine whether Temporary or On-call appointment is appropriate and under what title.  
    3. Draft a position description ad that aligns with the appointment type title description of responsibilities using the NatSci Internal Position Description AD Template
    4. Determination of the pay range for the position considering budget, internal equity (department)
  2. EBS request and approval flow
    1. The unit completes a Staffing Request Form on the EBS Portal, enters business justification for the request in the comments section of the form.  
    2. Staffing Request Form is routed for review in EBS Portal. Approval process: Unit > College > MSU HR (approval to post)
    3. MSU HR provides notification of denial/approval of posting
  3. If the position is approved in full, follow the unit’s search and hiring process in compliance with Support Staff Policy & Procedure for Filling Vacant Temporary and On-Call Positions.
